Ranch Production Administrator

The Walt Disney Studios encompasses the creation, production, promotion, sales, acquisition and domestic and international distribution of live-action and animated motion pictures, home entertainment releases, live stage plays, and music and soundtrack recordings.
The Ranch Production Administrator is an office administrator position that also has production company management responsibilities. The position requires an ability to focus, be accurate and make decisions while frequently being interrupted by the needs of production. The ability to stop in the middle of a process and return to it later while dealing with the immediate needs of production without frustration is paramount. Mastery of general office duty skills is necessary to perform these duties. The Ranch is a unique environment which calls for each of the team to be ready to assist in areas not necessarily in line with the job description.

    • Budgeting
      • Monthly Accruals
      • Manage all Ranch Hands computer & Hub needs i.e. keeping their log-ins and passwords current, assisting them in compliance training, insurance needs and changes, 401k etc.
    • Employee training record management
    • Offices supplies
    • Office maintenance oversight (janitorial, maintenance needs)
  • Office operations coordination and functions
    • Phones
    • Calendar
    • Expense reports
    • Scheduling of production companies
    • Scheduling of Ranch staff
    • Time input
    • SAP
    • Word, Excel and outlook
    • Capital project accounting
    • Weekly, monthly and annual tracking of revenue, expenditures and projects
    • Sourcing and procurement
    • HR paperwork
    • Workers Comp/Employee leaves
    • Casual buyer duties
    • Tours and special events
  • Production
    • Phone calls and calendar
    • Contract preparation
    • Production crew management in the field at varying hours
    • Production “scouting” duties
      • Initial scouts
      • Tech scouts
      • Ranch policy enforcement
    • Post filming inspection and follow-up
    • County Fire Film Desk liaison
  • Operations
    • Crisis response duties (fires, floods, earthquakes etc.)
    • Training in operations of key Ranch equipment
    • CPR training
    • Wildlife interface including snakes
    • Assist in the field as required
  • Community related task
    • Film office liaison
    • Production related special events
    • Film industry marketing events
  • Other duties as required

Basic Qualifications

  • Ability to work under pressure
  • Outlook/Excel/Word proficient
  • 60 WPM minimum
  • Ability to work with challenging personalities

Preferred Qualifications

  • 5 years’ experience in an office setting
  • PowerPoint and social media skilled
  • Crisis management experience
  • Exposure to farming, forestry or horticulture

Required Education

  • BA/BS degree
