Executive Assistant

LOCATIONS:

This position will provide support to the EVP & Chief Financial Officer, Disney ABC Television Group. The position is an extension of the CFO and represents the office in a professional and positive manner. The ideal candidate is a self-starter, proactive, and is a consummate team player. This candidate also has prior experience working in media. Responsibilities

  • Provide overall administrative support for a high-level executive including but not limited to maintaining busy calendar & day-to-day meetings, phone support;
  • Interact with both internal employees at all levels (including senior level executives across the company and their staff) as well as external contacts on behalf of the CFO; handle confidential matters with absolute trustworthiness; ensures interactions and transactions are ethical and convey integrity;
  • Coordinate/confirm all calendar matters, including internal and external meetings, coordinating meetings over multiple time zones; establishing conference calls & video conference/BlueJeans connections;
  • Screen telephone calls, greet visitors, and respond to general inquiries;
  • Manage the planning, coordination, and execution of business travel (domestic and international), including trip logistics and itinerary, meeting coordination, as well as remote support;
  • Prepare Keynote/PowerPoint presentations; design cohesive sets of slides visuals for presentations with a quick turnaround time. Understand efficiencies utilizing tools such as Keynote Themes, Master Slides, Paragraph Styles, Character Styles, Shape Styles, Chart Styles, Media Placeholders, Text Placeholders, etc. Animations within Keynote including cinematic transitions, animated text, and magic move;
  • Prepare confidential memos, correspondence, letters, business updates, meeting notes, proof correspondence;
  • Organizes group events as necessary (such as Town Halls or other group meetings);
  • Anticipates and interprets the needs of management staff without direction;
  • Ability to handle multiple concurrent tasks and constant interruptions within an environment with competing and changing priorities and an organization conducting business across multiple time zones;
  • Filing, faxing, photocopying, scanning and tracking documents; create digital catalog of existing files

Basic Qualifications

  • Professional, poised, senior-level Executive Assistant with a minimum of 7 years of experience supporting senior executives within large, corporate environments with the proven ability to set standard of performance excellence for self, assumes responsibility & accountability for assignments or tasks and goes beyond what is expected;
  • Advanced computer skills and digital savvy with the ability to work in both MAC and Microsoft Office environments. Proficiency in Microsoft Office suite, social media platforms and search tools; Advanced PowerPoint and Keynote skills required;
  • Team player with a great attitude with the ability to interact with and build strong relationships across multiple levels of employees and clients within and outside the organization;
  • Ability to function in a demanding environment with competing/changing priorities and tight deadlines;
  • Strong interpersonal skills, with the ability to anticipate needs, take initiative, meet deadlines, and be resourceful and flexible, while maintaining absolute professionalism and confidentiality;
  • Willingness to work flexible work hours and overtime as needed;
  • Strong interest in TV and media;
  • Detail-oriented, with proven organizational and prioritization skills;
  • Demonstrated ability to handle confidential and sensitive information;
  • Effective communication skills (written and verbal);
  • Ability to quickly learn internal meeting systems (i.e. video conference, telepresence, webex, bluejeans, etc.) and the resources of who to reach out to with questions, setup, etc.;
  • Experience building digital filing systems and organizing and maintaining large amounts of data;
  • Knowledge of Concur & SAP processing tools, including but not limited to Travel & Entertainment Proxy (T&E), Casual Buyer (Shopping Carts & AP Uploads for P.O.s & invoice processing), Time Processor

Required Education

  • Bachelor’s Degree or equivalent work experience.
