Executive Assistant

LOCATIONS:

This position will provide support to the EVP, Product & Technology. This position is an extension of the EVP and represents the office in a professional and positive manner. The ideal candidate is a self-starter, proactive, and is a consummate team player. This candidate also has prior experience working in media. Responsibilities

  • Primary administrative support to Executive Vice President and provide back up support to other Digital Media senior executives
  • Overall administrative duties to include, but not limited to, answering and screening incoming phone calls, scheduling meetings and maintaining extensive calendars, senior executive phone coverage (when needed), handling the preparation and processing of expense reports
  • Provide additional office support such as distributing mail, filing, faxing, photocopying, scanning and tracking documents, data entry, and word processing
  • Strong ability with presentation software to assist with updating or creating presentation materials
  • Take the lead in coordinating team conference calls, teleconferences and web-based meetings
  • Manage the planning, coordination, and execution of business travel (domestic and international), including trip logistics and itinerary, meeting coordination, as well as remote support
  • Coordinate and/or lead the planning of on-site and off-site events and meetings (i.e. Digital Media Huddles, etc.)
  • Periodically provide general office management support to team, including the handling of building occupancy related matters and oversee facility issues and work with building management as needed
  • Participate in administrative team, providing backup to other assistants and contributing to common administrative duties

Basic Qualifications

  • Executive Assistant with demonstrated experience supporting senior executives within large, corporate environments
  • Prior media experience
  • Advanced computer skills and digital savvy with the ability to work in both MAC and Microsoft Office environments including Word, Excel, Outlook, PowerPoint and Keynote
  • Team player with a great attitude with the ability to interact with and build strong relationships across multiple levels of employees and clients within and outside the organization.
  • Detail-oriented, with proven organizational and prioritization skills
  • Excellent analytical skills with the ability to exercise appropriate judgment and assume responsibility in executing tasks without direct supervision
  • Ability to handle multiple concurrent tasks and constant interruptions within an environment with competing and changing priorities and an organization conducting business across multiple time zones
  • Effective communication skills (written and verbal)
  • Strong interpersonal skills, with the ability to anticipate needs, take initiative, meet deadlines, and be resourceful and flexible, while maintaining absolute professionalism and confidentiality
  • Willingness to work non-standard, flexible work hours and overtime as needed
  • Detail oriented with strong organizational and multi-tasking skills
  • Ability to quickly learn internal meeting systems (i.e. video conference, telepresence, webex, bluejeans, etc.) and the resources of who to reach out to with questions, setup, etc.

Preferred Qualifications

  • SAP experience

Preferred Education

  • Bachelor’s degree or equivalent experience required
